Monthly Board Meeting Minutes

Meeting date: 8/8/2013

Call to order: A Monthly Board Meeting of the The Pioneer Friends was held at the Davy Crockett Birthplace State Park, Limestone TN, on 8/8/2013. The meeting was called to order at 6:35pm by Tim Massey President and Dale Trombley, secretary.

Members in attendance: Dale Trombley, Tim Massey, Ed Ruch, Charles Bishop, Peggy Bishop, Melodie and Ivan Daniels, Ken Tester, Dawn Elberbawy, Doug Ledbetter, Heather Youngblood.

Approval of minutes: Motion was made by Doug, and Heather seconded to approve the minutes of the 7/11/2013 meeting. Motion carried.

Treasurer’s report: Checking Account Balance as of July, 1 2013: $6170.33. Education Fund (Savings) $1802.53. Total Assets $7927.68. Approval motion made by Doug, Seconded by Peggy. Approved.

Old business:

-Ken states the wagon to be used during Crockett Days is nearing it’s final shape and has been tested and does great. It was going to be tested again but the water pump went out on the tractor

-Doug announced the schedule for Crockett Days as follows:

  • Friday the campsites will be opened up to re-enactors for setting up

Saturday Schedule is as follows:

  • 10:00 Flag raising and official opening
  • 11:00 18 century weapons demonstration
  • 12:00 Has been left open (with the idea that Mark would like to tell a Crockett story)
  • 1:00 Raid on Camp
  • 2:00 Weapons demonstration
  • 3:00 Pioneer music with Chad Bogart
  • 4:00 Auction
  • 5:00 Weapons demonstration
  • 6:00 Group gathering for Mark Hollback
  • 6:30 Re-enactor group eating
  • 7:30 Camp fellowship

Sunday Schedule is as follows:

  • 9:30 Church gathering
  • 10:00 Official open
  • 11:00 Weapons demonstration
  • 12:00 Mark story time
  • 1:00 Weapons demonstration
  • 2:00 Music
  • 3:00 Refreshments
  • 3:30 Group Picture

-Ken requested the Porta-Potties be paid for by the friends group and has approximated it to be $400 for 2 units for the weekend based on last years rates. Ed made the motion for $500 to pay for Porta-Potties during Crockett Days this year. Peggy seconded and the motion passed.

-Heather suggested to Dawn that the group picture this year be done on Saturday instead of at the closing on Sunday. Many people either don’t show up on Sunday or leave early on Sunday to get ready for the weekly grind. Several others voiced that this was a good idea.

New business:

Tim inquired to the group about the Friends Group Tent to be set up near Crockett Cabin during this years event. So far we have Melody, Tim, and Dale that have volunteered to work the Friends Group Tent.

-Doug said at the cabin we will have Flint work, Spinning, Knitting among others

-There will be a marked shuttle location for parking and shuttling to and from with the tractor/wagon ride.

-Doug motioned to get two directional arrow signs, Ed seconded, motion passed.

-Doug will ‘present’ during Mark Hollbacks recognition event.

-Peggy mentioned a ‘party’ for the hosts, Ken offered more information that it was a sort of pool party that evolved into the hosts and workers of the campground and all members of the friends group are invited to the pool party of Friday the 9th at 6-8 pm. Others emphasized to Peggy that the group recognizes the campground hosts every year around September.

Adjournment: The meeting was adjourned at 7:08 pm by Tim Massey, President.
